Equinox Engineering Ltd. is a Calgary-based EPCM firm. We are a market leader in oil and gas processing specializing in facilities design, implementation and operational assistance for natural gas, conventional and heavy oil projects. Our clients include several of the largest oil & gas producers in Canada and worldwide, and we are currently executing a wide range of sweet gas, sour gas, conventional oil, heavy oil facility and pipeline projects.

Summary:

The Corporate Administrator is responsible for daily administrative and corporate requirements for our Senior Management, as well as Human Resources duties. This position encompasses a multi-role involving the completion of sensitive and confidential administrative tasks for management, administrative support for Manager, Human Resources including confidential employee correspondence and documents, assists in administering our benefits program, and our on-boarding.  In addition, this position is accountable for all corporate event planning and managing the day to day operations of the office. 

In this role, the successful incumbent must effectively handle sensitive and confidential information/documents as well as comply with privacy legislation. The candidate is meticulous and ensures that information is accurate and dealt with a high degree of thoroughness.  All inquiries are responded to professionally, accurately and in a timely manner.  Excellent interpersonal and communication skills, both written and verbal, along with a high level of professionalism are of paramount importance.

In summary, this permanent position is responsible for support of our Corporate Management

Key Responsibilities:

Corporate Responsibilities

  • Serve as principle point of executive support for the President, Vice President, Operations and Vice President, Business Development
  • Facilitate communication from Department Managers, Project Managers and any other staff as necessary
  • Coordinate international travel to Australia, India and the United States
  • Office Manager – sustain the daily business operations to ensure the smooth and efficient running of the office and ensuring a comfortable office environment for all staff
  • Office services vendor sourcing, review and approval
  • Prepare and/or contribute to the preparation of announcements, reports, briefings and presentations as assigned
  • Parking Administrator – assign parking, track availability, wait list, and changes
  • Corporate Event Planning – coordinate and plan all corporate events such as staff Christmas luncheon, children’s Christmas party, Calgary Corporate Challenge,  
  • Provide leadership and clear direction to guide Receptionist in their work, consistent with approved plans, procedures and methods
  • Ability to handle confidential materials in a professional manner

Human Resources:

  • Assist HR Manager with orientation and on-boarding of new hires
  • Data entry for new hires, departures, and staff changes
  • Assist in administering the employee benefit plan
  • Communicate with IT on all New Hire workstation setups, departures and internal moves
  • Maintaining and ensuring HR records are up to date
  • WCB contractor tracking
  • APEGA tracking

Key Skills:

  • Must possess strong communication and interpersonal skills
  • Oil and gas experience in a corporate setting is required
  • High level of professionalism, decorum and confidentiality
  • Provide a high degree of customer service with both internal and external clients
  • Ability to work in a high activity/paced environment while prioritizing and managing associated stress
  • Excellent written and verbal communication skills to effectively communicate with various departments, levels and “all-staff”
  • Excellent proofreading and writing abilities to produce high quality documents 

Education and Qualifications

  • High level computer skills with MS Office
  • 10 – 15 years Office/Business Operations
  • Experience discreetly assisting executives
  • Experience with HRIS systems is an asset
